Booking Terms & Conditions

These Booking Terms & Conditions apply to travel services arranged through Bee Travel, operated by Sue Kos, an independent travel advisor affiliated with The Travel Agent Next Door.

By requesting a quote, making a booking, submitting payment, or using travel services arranged through Bee Travel, you acknowledge that you have read, understood, and agree to these terms and conditions.

1. Role of Bee Travel

Bee Travel provides travel planning, advice, booking support, and related travel services. Travel arrangements may include, but are not limited to, flights, cruises, vacation packages, hotels, tours, transfers, excursions, travel insurance, and other services provided by third-party travel suppliers.

Bee Travel acts as an advisor and intermediary between clients and travel suppliers. The actual travel services are provided by independent third-party suppliers, such as airlines, cruise lines, tour operators, hotels, resorts, transfer companies, insurance providers, and destination service providers.

Each supplier has its own terms and conditions, including payment deadlines, change fees, cancellation penalties, refund rules, documentation requirements, and liability limitations. These supplier terms apply to your booking in addition to these Booking Terms & Conditions.

2. Affiliation with The Travel Agent Next Door

Sue Kos is an independent travel advisor affiliated with The Travel Agent Next Door. Travel bookings may be processed through The Travel Agent Next Door and/or its approved supplier partners.

Clients may see references to Bee Travel, Sue Kos, The Travel Agent Next Door, and/or supplier names on quotes, invoices, confirmations, payment links, travel documents, or other booking-related materials.

3. Quotes, Prices, and Availability

All quotes are subject to availability and are not guaranteed until the booking is confirmed by the applicable supplier and required payment has been received.

Prices, promotions, schedules, taxes, fees, exchange rates, availability, and inclusions can change without notice. A quote does not hold space, price, or availability unless specifically stated in writing.

Bee Travel makes reasonable efforts to provide accurate information, but website content, promotional material, supplier information, and quotes may change or contain errors. Final booking details are subject to supplier confirmation.

4. Payments and Booking Confirmation

A booking is not confirmed until the required deposit or payment has been received and the supplier has issued confirmation.

Payment deadlines are important. If payment is not received by the required deadline, the supplier may cancel the booking, release space, increase the price, or apply additional fees.

Clients are responsible for reviewing all invoices, confirmations, passenger names, travel dates, room categories, cabin categories, flight details, package inclusions, payment deadlines, and cancellation terms carefully. Any errors or concerns should be reported to Bee Travel as soon as possible.

5. Names and Travel Documents

It is the client’s responsibility to ensure that all traveller names are provided exactly as they appear on the passport or government-issued travel identification that will be used for travel.

Clients are responsible for ensuring they have valid passports, visas, entry permits, vaccination records, health documentation, parental consent letters, or any other documents required for their destination, transit points, cruise itinerary, airline, tour operator, or other supplier.

Entry requirements can change without notice. Clients are responsible for checking and meeting all requirements before travel.

Bee Travel may provide general guidance regarding travel documents and entry requirements, but final responsibility rests with the traveller.

6. Passport, Visa, Health, and Entry Requirements

Clients are responsible for ensuring they are eligible to travel and enter all countries included in their itinerary, including transit countries.

This may include checking passport validity, visa requirements, electronic travel authorizations, vaccination requirements, health forms, customs rules, criminal inadmissibility rules, and any other destination-specific requirements.

Bee Travel is not responsible if a client is denied boarding, delayed, refused entry, quarantined, fined, deported, or otherwise unable to travel due to incomplete or incorrect documentation or failure to meet entry requirements.

7. Travel Insurance

Travel insurance is strongly recommended for all travellers.

Insurance may include emergency medical coverage, trip cancellation, trip interruption, baggage protection, travel delay, supplier default, and other benefits depending on the policy selected.

Clients are responsible for reviewing insurance options, policy wording, exclusions, pre-existing condition clauses, coverage limits, eligibility requirements, and claim procedures before purchase.

Declining travel insurance may leave clients responsible for non-refundable costs, medical expenses, cancellation penalties, interruption expenses, or other losses.

8. Changes and Cancellations

Changes and cancellations are subject to the terms and conditions of the applicable supplier.

Supplier penalties may include non-refundable deposits, change fees, cancellation fees, fare differences, administrative fees, loss of promotional pricing, or full loss of payment.

Some bookings may be completely non-refundable once confirmed. This may include certain airfare, cruise fares, vacation packages, hotels, tours, excursions, insurance, or special promotions.

Requests to change or cancel a booking must be made in writing. A change or cancellation is not complete until confirmed by Bee Travel and/or the applicable supplier.

9. Refunds, Credits, and Future Travel Vouchers

Refunds, credits, and future travel vouchers are governed by the applicable supplier’s terms and conditions.

Processing times vary by supplier and may take several weeks or longer. Bee Travel is not responsible for supplier delays in issuing refunds, credits, or vouchers.

Any refund issued may be less than the amount originally paid due to supplier penalties, non-refundable fees, insurance premiums, currency exchange differences, or other applicable charges.

10. Supplier Changes, Delays, and Disruptions

Travel suppliers may change schedules, aircraft, ships, hotels, room categories, cruise ports, tour itineraries, inclusions, excursions, departure times, or other travel arrangements.

Bee Travel is not responsible for supplier changes, cancellations, delays, missed connections, denied boarding, weather events, strikes, labour disruptions, mechanical issues, government restrictions, border closures, health emergencies, natural disasters, acts of terrorism, civil unrest, force majeure events, or other circumstances beyond its control.

Bee Travel will make reasonable efforts to assist clients where possible, but any remedies are subject to the policies and obligations of the applicable supplier.

11. Client Responsibility While Travelling

Clients are responsible for reviewing their travel documents before departure and reconfirming flight times, transfer arrangements, check-in times, passport validity, baggage rules, destination requirements, and other important details.

Clients are responsible for arriving at airports, cruise terminals, hotels, meeting points, and tour departures on time.

Clients are also responsible for their own personal conduct while travelling and for complying with supplier rules, destination laws, customs regulations, safety instructions, and local requirements.

12. Special Requests and Accessibility Needs

Bee Travel is happy to communicate special requests to suppliers where possible, including bedding preferences, dietary requests, accessibility needs, seating requests, celebrations, or other preferences.

Special requests are not guaranteed unless confirmed in writing by the supplier.

Clients with mobility, medical, dietary, accessibility, or other specific needs should advise Bee Travel before booking so appropriate options can be reviewed. Some destinations, ships, hotels, resorts, tours, or transportation services may not be suitable for all travellers.

13. Website Information

The information on beetravel.ca is provided for general information and travel inspiration only. While Bee Travel makes reasonable efforts to keep website content accurate and current, travel information can change quickly.

Website content does not constitute a confirmed quote, booking, legal advice, medical advice, insurance advice, or destination entry guarantee.

14. Limitation of Liability

Bee Travel is not the provider of the travel services purchased. Bee Travel is not liable for the acts, omissions, errors, delays, cancellations, representations, warranties, breaches, negligence, or failures of any third-party supplier.

Bee Travel’s responsibility is limited to providing travel advisory and booking support services with reasonable care.

To the fullest extent permitted by law, Bee Travel is not responsible for any loss, injury, damage, delay, inconvenience, expense, missed vacation time, denied boarding, refused entry, supplier failure, or other issue arising from third-party suppliers or circumstances beyond Bee Travel’s control.

15. Accuracy of Client Information

Clients are responsible for providing accurate and complete information at the time of inquiry and booking. This includes legal names, dates of birth, passport information, contact details, loyalty numbers, medical or accessibility needs, travel preferences, and any other information relevant to the booking.

Bee Travel is not responsible for costs, penalties, delays, denied boarding, or other consequences resulting from inaccurate, incomplete, or late information provided by the client.

16. Communications

Clients agree that Bee Travel may communicate with them by email, phone, text message, online form, or other reasonable methods related to inquiries, quotes, bookings, travel documents, payment deadlines, supplier updates, and travel support.

Clients are responsible for monitoring their email and other communication channels for important travel updates.

17. Intellectual Property

The content on beetravel.ca, including written content, branding, images, logos, and other materials, is owned by or licensed to Bee Travel unless otherwise noted.

Website content may not be copied, reproduced, modified, distributed, or used for commercial purposes without written permission.

18. Privacy

Personal information is handled in accordance with Bee Travel’s Privacy Policy.

Clients should review the Privacy Policy to understand how personal information may be collected, used, disclosed, stored, and protected in connection with travel inquiries, bookings, website use, and related services.

19. Governing Law

These Booking Terms & Conditions are governed by the laws applicable in the province or jurisdiction where the booking is processed, together with any applicable Canadian travel industry, consumer protection, privacy, or supplier-specific rules.
